A fee receipt is a legal acknowledgment of money received — and in a school it is also the document parents produce for tax claims, office reimbursements and disputes years later. A good receipt answers four questions at a glance: who paid, for whom, for what heads, and how. This format covers all four plus the numbering discipline auditors check.

Receipt number & date

Serial numbering is the spine of fee audit — gaps in the series are the first thing an auditor questions.

Student name, class-section, admission no.

Ties the payment to one student record; admission number resolves same-name collisions.

Fee period

'Term 2, 2026–27' or 'April–June 2027' — prevents the eternal 'which quarter was this for?' dispute.

Head-wise breakup

Tuition, transport, exam, lab, annual — parents need tuition separated for tax; the school needs heads for its own books.

Amount in figures and words

The standard anti-alteration convention on any money document.

Payment mode & reference

Cash / cheque no. & bank / UPI transaction ID / gateway reference — the reconciliation key.

Late fine / concession shown separately

Never bury fines or concessions inside a head — show them as their own lines so the ledger explains itself.

Received by (signature) or system-generated note

Manual receipts need a signature; ERP receipts state 'system-generated' with the receipt ID verifiable in the office.

How to use it well

  1. Never re-use or skip a serial number; cancelled receipts stay in the book marked CANCELLED.
  2. Show tuition as its own line always — parents claim it under income-tax provisions and will return asking for a breakup if you don't.
  3. If fees are collected online (e.g. via Razorpay in an ERP), the gateway reference on the receipt is what makes bank reconciliation one-to-one.

Board & state note

Schools' GST treatment varies (core education services are broadly exempt; some ancillary charges may not be) — confirm with your auditor what your receipt must state. This template deliberately leaves tax lines to your accountant's instruction rather than guessing.

What should a school fee receipt include?

At minimum: a serial receipt number and date, the payer's and student's names, class and admission number, the fee period, a head-wise breakup (tuition shown separately), the total in figures and words, the payment mode with its reference (cheque number, UPI/gateway ID), and a signature or a system-generated note. These are the fields parents, employers, tax filings and auditors each look for.

Why must tuition fees be shown separately on the receipt?

Because parents claim the tuition-fee component (not transport, not development charges) under income-tax provisions for children's education. A single lump-sum line forces the office to re-issue breakups every tax season.

Are digitally generated fee receipts valid?

Yes. A system-generated receipt with a unique receipt ID, head-wise breakup and payment reference is standard practice — and easier to verify than a handwritten one, since the office can look the ID up instantly. Schools using ERPs with online collection get the receipt, ledger entry and reconciliation reference created together.
