New Academic Year Setup Checklist

Opening a new session touches every part of the school at once — promotions, new classes and sections, a revised fee structure, timetables and staff allocation. Miss one step and the first weeks turn chaotic. This checklist lays out the tasks to set up a new academic year cleanly, grouped so office, academic and communication teams can work in parallel.

Classes, sections & promotions

  • Close the previous session’s records and freeze final results

  • Promote students to the next class based on results

  • Mark detained / repeating students and pending cases

  • Create the new session and its academic calendar

  • Set up classes, sections and student capacity per section

  • Allocate students to sections and generate new roll numbers

  • Archive passed-out (final class) students and issue TCs where needed

Admissions & enrolment

  • Open admissions for new students and fresh entry classes

  • Verify documents and complete admission formalities

  • Assign admission numbers and (where used) PEN to new students

  • Update parent contact details and re-verify mobile / email

  • Onboard new families to the parent app / portal

Fee structure

  • Finalise the revised fee structure and heads for the new session

  • Configure tuition, transport, activity and exam fees per class

  • Set due dates, instalment plans and late-fee rules

  • Carry forward outstanding dues from the previous session

  • Apply concessions, scholarships and RTE / EWS entries

  • Generate and publish the first fee schedule to parents

Timetable & academics

  • Allocate class teachers and subject teachers for each section

  • Prepare the master timetable and per-class timetables

  • Finalise the syllabus, textbook list and academic plan

  • Set the examination and assessment schedule for the year

  • Configure the grading scheme (CBSE A1–E or your board pattern)

  • Plan holidays, events and PTM dates in the calendar

Staff, infrastructure & communication

  • Confirm staff joining, transfers and new appointments

  • Assign roles, logins and access permissions in the school software

  • Ready classrooms, labs, furniture and learning material

  • Update the school website / Mandatory Public Disclosure for the new session

  • Send a start-of-session circular with dates, fees and timings to parents

  • Run a readiness review with all coordinators before day one

Frequently Asked Questions

The core tasks are: freeze the old session and promote students, create the new session with its calendar, set up classes and sections and reallocate students, finalise the revised fee structure and carry forward dues, prepare timetables and assign teachers, complete new admissions, and send a start-of-session circular to parents. Grouping the work lets office, academic and communication teams run in parallel.

Preparation should begin a few weeks before the session opens — as soon as final results are ready. Promotions, section allocation and the revised fee structure can be set up ahead of time, so that on day one classes, roll numbers, timetables and fee schedules are all live. Doing this in software rather than on paper avoids the usual first-week chaos.
