Parent-Teacher Meeting (PTM) Checklist
A PTM only works when the teacher walks in prepared with each child’s attendance, marks, behaviour notes and clear next steps — and follows up afterwards. This checklist helps class teachers and coordinators run focused, well-documented parent meetings, organised into what to do before, during and after the meeting.
Before the PTM — logistics
Fix the date, time slots and venue; share the schedule with parents in advance
Send reminders via the parent app / SMS with each family’s time slot
Prepare a sign-in sheet or digital check-in for attendance
Arrange seating, display material and student work samples
Confirm which parents need an interpreter or a separate private slot
Before the PTM — per-student prep
Print or pull up each student’s attendance summary

Note strengths and two or three specific areas to improve
Record any behaviour, discipline or health observations

During the PTM

Listen to parent inputs about the child’s health, habits and home study
Agree on a follow-up action and who is responsible
Keep to the time slot and note key points during the conversation
After the PTM — follow-up
Record meeting notes and agreed actions against each student
Share a short summary or action point with parents via the app
Flag students needing counsellor, remedial or special-needs support
Follow up on fee or document commitments made during the meeting
Update the coordinator on parents who could not attend
