This is a format to adapt, not a prescribed form. No authority publishes a single national wording for this document. Your board, your state and your own school rules decide what it must say and how long you keep the counterfoil, so check yours before you adopt this as your standard.

How this generator works

Sixteen rows, and the two that get confused

Rows 13 and 14 are the date of application for the certificate and the date it was issued, and they are not the same date. A receiving school reads the gap between them, and a parent disputing a delay reads it too. The form keeps them apart and formats both as your register writes them.

Attendance is a pair, not a percentage

The certificate asks for total working days and days present as two separate figures, and it is right to: a bare percentage hides how many days the school actually ran. Fill both from your attendance register rather than computing one and dropping the other, because the receiving school will do the division itself.

The certificate is only half the record

A parent who loses the original comes back years later, and the only thing that lets you reissue what was actually written is your own counterfoil. Print, sign and seal from here, then enter the certificate number against the student in your transfer-certificate register before the file is closed.

Frequently Asked Questions

No. If a system already prints your transfer certificates, it is also holding the numbering and the register entry that make them traceable, and printing one outside it puts a certificate into the world that your records do not know about. This generator is for the office still filling a printed book by hand, or needing a single certificate while a migration is in progress, and in that second case, record the number in the system afterwards.

The class the student is eligible to join next, as your own results record it, not a prediction and not a recommendation. If the result for the year is not yet declared, say so in that row rather than leaving it blank, because a receiving school reading an empty row has to write back and ask, which delays the admission the certificate exists to enable.

Put what your admission register holds, because that is the record the certificate is testifying about, and the row is asking your school what it has. If the family wants it changed, that is a correction to the register itself, with whatever evidence and approval your school’s rules require: done first, then the certificate reissued. Never write one date on the certificate and keep another in the register.
