Teacher Appointment Letter — format & editable download

The appointment letter is the contract most private-school disputes eventually return to — and many schools still issue a two-line version that protects nobody. This format covers the terms that matter: role, pay, probation, notice, conduct and documents, in plain language.

When schools need this document

  • Every teaching and non-teaching appointment — permanent, probationary or fixed-term.
  • Board affiliation and inspection files — appointment records with salary terms are routinely checked.
  • Any later dispute about pay, notice period or duties — the letter is the reference document.

Every field, explained

Post, subjects & level

'TGT Mathematics (Classes 6–8)' prevents both overloading and later 'that is not my job' disputes.

Salary structure

Gross, key components and statutory deductions (PF/ESI where applicable) — paid through bank. Inspection files are checked for salary evidence.

Probation & confirmation

Duration, assessment basis and what confirmation looks like in writing.

Notice period (both sides)

Symmetric notice (commonly one to three months, aligned to term boundaries) protects the school from mid-term exits and the teacher from arbitrary ones.

Duties & conduct clause

Teaching plus reasonable co-curricular/exam duties; child-safety and code-of-conduct compliance as an explicit condition.

Documents & verification

Qualification certificates, ID and references verified — noted in the letter as a condition of appointment.

How to use it well

  1. Issue before joining day, always in duplicate with a signed acceptance copy for the staff file — inspections ask for exactly this.
  2. Align salary terms with what your affiliation obligations require (boards expect prescribed scales and bank payment); have your accountant verify the deduction lines.
  3. For fixed-term or leave-vacancy appointments, state the end date explicitly — silence converts fixed-term into a dispute.

Board & state note

Board affiliation norms (e.g. CBSE bye-laws) carry expectations about teacher qualifications, salary scales and payment through bank. This format is a general private-school letter — align clauses 2 and 7 with your board's current requirements and applicable state/labour rules.

Frequently asked questions

What should a teacher appointment letter include?

Post and subjects, joining date, salary structure with deduction and bank-payment terms, probation length and confirmation basis, notice period both sides, a duties-and-conduct clause covering child-safety policies, and a verification condition — issued in duplicate with signed acceptance filed.

What notice period is normal for school teachers?

One to three months is common in Indian private schools, often with a preference for exits aligned to term ends so classes are not abandoned mid-term. Whatever you choose, make it symmetric and written — asymmetric or verbal notice terms are where disputes breed.

Is an appointment letter mandatory for private school teachers?

Board affiliation and inspection processes expect proper appointment records with salary evidence, and general labour-law principles favour written terms. Practically: a school without appointment letters has no defence in any staff dispute — issue them for every role.
