A circular is the school's official voice to every home, and most are written in a hurry, buried in bags and blamed later ('we were never told'). This format, plus four ready samples, makes circulars short, complete and provable.

Circular number & date
Serial numbering ('Circular 14/2026-27') creates the record: 'we were never told' is answered by the numbered log.
One subject line, one topic
A circular about three things communicates none. Split them.

What, when, who is affected, what parents must DO, and by when: every circular is complete when it answers all five.
Acknowledgement slip (when action matters)
A tear-off/reply slip (or in-app read receipt) converts 'sent' into 'received' for the circulars that matter.
How to use it well
- Number every circular and keep the master log, the numbered archive is the school's communication record.
- One topic per circular; send two circulars rather than one confusing one.
- Send through a channel with delivery visibility where possible, a parent-app announcement with read receipts turns 'we sent it' into 'you opened it Tuesday 7:42 pm'.

Frequently asked questions
How do you write a school circular to parents?
Answer five things in under 150 words: what is happening, when, who is affected, what parents must do, and by when: under a single-subject line, with a circular number and date, signed by the principal. Add a tear-off acknowledgement (or app read-receipt) when the action matters.
Why should circulars be numbered?
The serial number plus a master log turns your circulars into a provable communication record, indispensable when a family disputes having been informed about a fee schedule, a schedule change or a consent requirement.
Are WhatsApp messages a substitute for circulars?
Group chats reach fast but prove nothing and drown announcements in chatter. The reliable pattern is an official channel of record (numbered circular, ideally via a parent app with read receipts) with chat as an optional echo.
