How this generator works
One line per fee head, not one lump sum
The table keeps tuition, transport, examination, annual charges, late fine and concession on separate lines because a parent who needs to show what a particular part of the payment was for cannot do it from a single total. A receipt that collapses everything into one figure sends the parent back to your office, and the office rebuilds the breakup by hand.
The amount in words is not decoration
It is the line that settles an argument about a smudged or altered figure, which is why cheques carry it too. The form gives it a field of its own, and you should fill it even when the receipt is printed rather than handwritten, because the printed copy is the one the parent keeps.
Columns hold their position
The amount column is a fixed width in the format, and filling a figure preserves it rather than pushing the rest of the line sideways. That is what makes a stack of printed receipts readable, and it is the reason the preview is shown in a monospaced typeface: what you see lined up is what prints lined up.
Frequently Asked Questions
Does this receipt handle tax?
It carries no tax fields, and this page does not tell you whether any tax applies to a charge at your school. That depends on what the charge is for and how your institution is constituted, and it is a question for your auditor rather than a web page. If your receipts need tax lines, add them to the copy you adopt and have the wording checked before you print a book of them.
Two people at our desk collect fees. What goes wrong?
The receipt number. Two collectors each writing the next number from their own book, or each typing one into a page like this, will eventually issue the same number twice, and nobody finds out until the month is reconciled and two students hold the same receipt. A serial that cannot repeat has to come from one place, a single numbered book that only one person writes in, or a system that mints the number. Decide which before the first receipt goes out.
Why does the format have a concession line rather than a discount on the total?
Because a concession is a decision someone at the school made, and it should be visible as one. Netting it off silently against tuition leaves nothing on the receipt or in the books to show what was granted, to whom, or by whose approval, which is exactly the question that comes up when the year is audited or when the family asks for the same concession again.
